Operations updates

Facilities

Building Operations, Custodial Services, Customer Services & Informatics, Energy & Water Services, Infrastructure Development, and Municipal Services

  • MOA Great Hall Renewal: On January 16, 2023, The Museum of Anthropology is now temporarily close until late 2023 to accelerate the completion of the seismic upgrades to the Great Hall and conduct other building improvements. Learn more about this project.
     
  • Furniture Re-use program: Facilities Planning in Infrastructure Development launches Furniture Reuse Program to support sustainability. To enquire about furniture for sale, donate unwanted furniture items or learn more about the program, contact furniture.reuse@ubc.ca.
     
  • Updated seismic planning timeline: The Seismic Planning Timeline has been updated and is available on the Facilities website. Learn about the work our team has been doing throughout the years to keep our community safe from natural disasters. 

Finance

Comptroller, Finance & Operational Excellence and Treasury

  • T4/T4A tax slips for faculty and staff expected by February 28: A further announcement will be shared when the tax slips are available. Please ensure that your home address is up-to-date in Workday and that your “home address” in Workday is not your UBC work address. Learn more
     
  • Deadline for expense/invoice approval is March 30: Supplier invoices and expense reports, including credit card reconciliations, must have completed all the requisite steps/approvals in Workday and be fully approved by March 30 at 2:30 pm to be included in the March 2023 ledgers. Learn more
     
  • Monthly online training workshop for UBC Visa cardholders: Learn about your responsibilities as a UBC Visa cardholder in this one-hour workshop. The next workshop is held on Jan 27. Learn more

Communications & Engagement, Human Resources, and Safety & Risk Services 

  • Submit your Professional Development Fund claims by March 3: A reminder to staff to submit your reimbursement claim in Workday by Friday, March 3. If you are a manager or supervisor, please review and approve all claims in Workday no later than Friday, March 17. Learn more
     
  • Supporting Mental Health in the Workplace for Managers and Supervisor: This training focuses on building mental health literacy, clarifying managers and supervisors’ responsibilities when it comes to building workplace psychological health and safety, and sharing important resources. Learn more
     
  • New Option to Highlight Hybrid Work on Job Postings: Listing whether a position is eligible for a hybrid work arrangement on job postings will help job seekers make informed decisions and have transparent conversations during the application and hiring process. See more upcoming enhancements on the ISC website.
     
  • New photography of UBC Facilities' electricians at work: VPFO Communications & Engagement recently captured photos of electricians within Building Operations working on a lab renovation at the Centre for Comparative Medicine. View the VPFO Flickr to see the collection

Managing your mental health

HR has collected mental health resources, including events and workshops, to help you manage your ups and downs. 

As a manager or leader, you play an important role in supporting your mental health and that of your teams. Complete the new required training: Supporting Mental Health in the Workplace for Managers and Supervisors.

Our VPFO HR staff is always available for a confidential conversation. You can also access the Employee and Family Assistance Program (EFAP) confidential services, through LifeWorks, by calling 1-866-424-0770.
