Janet Hankins, Manager, Research Compliance and Occupational Hygiene: Balancing safety and innovation at UBC 

Janet has been with UBC for over 20 years, and with Safety & Risk Services (SRS) for almost a decade. From developing safe work procedures for the university to minimizing the risk of a global pandemic on campus, she has faced many challenges throughout her career. 

In this Q&A, Janet shares how she resonates with the VPFO’s strategic directions and values, and how her team came together to support the university community through the onset of COVID-19.

Operations updates

Finance

Comptroller, Finance & Operational Excellence and Treasury

  • Why your net pay is lower in January: Each calendar year, CPP contributions and EI premiums must be deducted from earnings until a maximum level is achieved. This results in a reduced net pay starting in January, but once the maximum contribution amounts are reached during the year, the deductions stop for the rest of the calendar year. Learn more
     
  • Claiming your basic personal tax elections: The basic personal tax credit election amounts for 2023 are $15,000 (federal) and $11,981 (provincial). Learn more about how to claim your basic personal tax elections and find relevant resources on the UBC Finance website.
     
  • Financial Operations service delivery levels – December: The December dashboards are now available to view on the UBC Finance website. Learn more
     
  • Incorrect Time Off and Liability Information in Workday Reports: The ISC is investigating an issue that is affecting the accuracy of some custom reports, specifically those that report on time off balances and liability used by Managers and HR Administrators. In the interim, please use the ‘Time Off Results Summary’ Workday report to find correct time off balance information. Learn more

  • Important updates to Legislative Sick Leave and Paid Sick Leave: In 2022, UBC added legislative sick leave in response to the update to the BC government’s amendment to the Employment Standards Act, which entitles employees to 5 days of paid sick time off each year.   • Job seekers can now sign up for Job Alerts: Active UBC employees can create an account and activate job alerts, but do not apply through the external career site. Instead, log in to your employee Workday profile and use the Career application to apply as an internal candidate. Learn more

Facilities

  • Jeremy Bell – Shout out to Jeremy for his exceptional work in maintaining the safety of our campus. With his skills and tenacity, Jeremy was able to restore power to an exterior light over the bicycle parking area at the Forest Sciences Centre, which was no small feat as it required investigation and re-routing. Nicely done, Jeremy! 

Finance & Operational Excellence

  • Boris Gunn – Kudos to Boris from the ISC service desk team for always providing proactive, detail-oriented, and effective support. Your resourcefulness and willingness to help the users to the best of your abilities set you up as a dependable team member. Your hard work is appreciated, Boris. Keep up the good work! 
     
  • Calvin Cheung – Shout out to Calvin for his continuous hard work and for covering for team members during the holiday. We appreciate your contributions and your ongoing commitment to supporting the UBC Community. You're a great team player, Calvin! 
     
  • Danielle Pannu & Sabrina Basra – Kudos to Danielle and Sabrina for their wealth of knowledge of the Workday system and ability to find effective solutions to help clients do their jobs. Great work!   
     
  • Erin Anderson – Erin is a rockstar team player who goes above and beyond to deliver her tasks and projects. We appreciate all your hard work, due diligence, leadership, and commitment to thoroughly assess change impacts (to both the community and ISC), as well as your collaboration with clients and communication partners across UBC.  
     
  • Pearle Lundeen – Thank you Pearle for facilitating the Equity, Diversity, and Inclusion (EDI) session held on December 15, 2022 for the Operational Excellence team. You did a fantastic job covering the modules and driving important conversations!

January is Sexual Assault Awareness Month: Faculty and staff resources

January is Sexual Assault Awareness Month. The Sexual Violence Prevention and Response Office (SVPRO) has valuable resources for faculty and staff to better understand this issue and gain support throughout the year.

UBC faculty and staff also have access to all SVPRO services, including support if you have experienced or been impacted by sexual or gender-based violence, harassment, or harm. Together we can build a culture of consent at UBC. For more information, contact the SVPRO team.
 

Roadmap for Change: Implementing anti-racism commitments at UBC (Jan 25)

Join this UBC-wide forum on Wednesday, January 25 from 2:00 – 3:15 pm to learn about next steps for implementing the recommendations from the Anti-Racism and Inclusive Excellence Task Force Final Report, and how you can build a more equitable and anti-racist UBC.

Vice Society Ransomware Targeting Education: Ensure UBC EDR Installed

A ransomware gang known as Vice Society, also konwn as the “Vice Spider”, has recently been affiliated with a large amount of high-profile cyber-attacks against the academic sector. Impacts from these attacks have ranged from restricted access to networks and data, delayed exams, canceled school days, and unauthorized access to and theft of personal information regarding students and employees.

Units utilizing Endpoint Detection and Response (EDR) software approved by the CISO (CrowdStrike Falcon on servers and Cisco Secure Endpoint on workstations) are well secured against the Vice Society attacks, however, units that do not have these EDR tools installed are at high risk and must ensure that they are installed immediately.
