Operations updates

Facilities

Building Operations, Custodial Services, Customer Services & Informatics, Energy & Water Services, Infrastructure Development, and Municipal Service

  • Power outage on October 16: The power outage was attributed to a cable fault which triggered protection devices, resulting in several high voltage feeds going down and cutting power to some of the buildings on campus. Learn more.

  • Municipal Services go live with Planon: This week marks a significant milestone as the Municipal Services team go live with assets and preventative maintenance plans in Planon.

Finance

Comptroller, Finance & Operational Excellence and Treasury

  • Peoplesoft to be decommissioned by end of October: Visit cio.ubc.ca/peoplesoft for updates and information, including what you need to do to prepare as we approach the decommissioning of PeopleSoft. Learn more 

     
  • Video resource to navigate Accrual Reports in Workday: A video tutorial is available on the UBC Finance website to help the community navigate the two new accrual reports in the period close dashboard in Workday. Watch the demo (CWL required)  
     
  • Quick access to Incomplete Purchase Requisition Cart on homepage: When items are added to a Purchase Requisition Cart but are not checked out, a ‘Cart’ card will now appear under Timely Suggestions on the Workday homepage. Learn more on Workday This Week
     
  • September Interest Rates: The June interest rates are now updated and available on the UBC Finance website.
     
  • Claiming unidentified wire transfers and direct deposit: Please check through the list of unidentified wire transfers and direct deposits (updated as of October 13) to see if any payments belong to your department.

  • Pilot project for UBC Required Training kicks off: Last week, staff who are not up to date on their UBC Required Training should have received a notification in Workday. Managers will also have access to a report that outlines compliance for their team(s). Learn more

People in motion

  • Linda Roseborough, Health, Safety & Wellness Advisor in Safety & Risk Services (SRS)’s last day at UBC is this Friday. Linda has provided strong support and leadership to many UBC initiatives and people, including the VPFO EDI Committee and managing health and wellness programs at The Centre at University Services Building (USB). There will be a send-off for Linda in the Multipurpose room at USB on Thursday, October 20 at 3:00 p.m.
     
  • Holly Shepherd is promoted to Director, Treasury with overall responsibility for overseeing tax, contracts, leases & licences, housing loans, payment card industry compliance, service levy and Treasury Accounting.
     
  • Conor Cregg-Guinan steps into a new role as Operations Manager, Custodial Services.  
     
  • Mohamed Arshad Mohamed Ashraf joins Finance & Operational Excellence as Procurement Officer on Oct 19. 
     
  • Paul Tiberghien joins Safety & Risk Services as a Outreach & Event Coordinator on Oct 19.

ISP Toolkit in Action Panel – Your Opportunity to Learn from Colleagues

To help guide implementation of the Indigenous Strategic Plan (ISP), the Office of Indigenous Strategic Initiatives (OISI) developed a set of tools which both academic and operational units can use to help situate themselves in relation to Indigenous engagement and create a plan that aligns their work with the ISP’s eight goals and 43 actions.

Many units, teams, and departments have begun working with the ISP toolkit over the past two years. Presented by OISI and the Indigenous Initiatives team at the Centre for Teaching Learning and Technology (CTLT), this panel is an opportunity to learn from their experiences and ask questions that will help you move forward with the ISP toolkit.

UBC Library launches EDI Scholars-in-Residence Program lecture series

Join us for a series of free, public lectures presented through the Equity, Diversity, and Inclusion (EDI) Scholars-in-Residence Program, which was launched by UBC Library and the Irving K. Barber Learning Centre. All lectures will take place in the Antonio and Marissa Peña Learning and Events Room in IKBLC.

A one-year data retention schedule for Zoom and MS Teams video recordings is coming October 2023

In October 2023, UBC will implement an automated one-year retention policy for video recordings. This data retention schedule will affect all faculty, staff and student employees at both UBC Vancouver and UBC Okanagan campuses. This new policy is issued by UBC's Records Management Office. At this time only video recordings created in Microsoft Teams and Zoom are affected.

While users are not required to move their videos, if they are more than one year old and no action is taken, these videos will be automatically destroyed according to the one-year automated retention schedule.
